The Course: Features & Benefits
- Who's in charge? You or the email?
“Very well run and presented – met our objectives absolutely”Hundreds of email messages flood into our in-boxes each day: spam, newsletters,
personal emails, emails we've been copied to unnecessarily. Ensuring the
message you send is read quickly involves getting key elements right –
all of which we'll explain.
- Ensure lengthy emails are more easily read and digested
Reading information on screen is difficult and unfamiliar. It is essential
when sending long messages to conform to certain rules so yours isn't
confined to the 'read later' pile.
- Keep the right side of the law
Everything you say on company time counts as official company views. Do
you know your company's Email Use policy? Do you remember what happened
to Claire Swires? Are you aware what could happen if you send private
emails?
- Make your emails more readable
If people like reading your emails they'll be more likely to
open them more quickly. If we make people laugh or incorporate running/in
jokes we ensure they'll want to see what we have to say next.
- Communicate clearly and effectively
Often the most important part of your message is lost. Often people will
skip your emails because they're doing other things. We will show you
how to communicate effectively.
- Don't get into email arguments
The subtle nuances of conversation are easily lost in email We skip traditional
salutations, aren't able to express tone or body language, fire off emails
without thinking and can get into what's known as a flame war. This is
disruptive and disturbing and can easily be avoided.
- Write appropriate emails
We don't use the same conversational style with our business partners
as we do our personal ones. However, we can write in the same style. This
is often inappropriate and can result in lost business and damaged relationships.
- Understand your audience
When should you write and when should you call? Is the person you're writing
to young or old, internet savvy or illiterate, overwhelmed or under-worked?
Each person has different needs at different times. Learn how to understand
and cater for them.
- Build relationships
The quick-fire nature of emails makes it an excellent tool for
building and sustaining relationships. A 'how's everything going email'
often is quicker than a phone call and provides the recipient with the
opportunity to reply at their leisure. Learn how and when to use this.
- Minimise spam
It is estimated that soon 90% all internet traffic will be consumed by
spam email. If you want to receive fewer offers for a septic tank and don't want to take advantage of a wonderful Nigerian deal we'll show you what
to do.
- Use CC and Reply To All judiciously
It often seems easier to just copy everyone in on an email or to reply
to everyone on the distribution list. However, the flood of unwanted email
reduces the chance important messages will get through. There's a danger
you could get labeled an internal-spammer.
- Be a master of your inbox, not it's slave
A huge long list of emails in a single email inbox is unmanageable. Enormous
amounts of time can be saved by filing and using folders. And vitally
this ensures important messages aren't missed.
